1. Who we are
FuturifySoft Solutions LLC builds and publishes mobile applications related to the FuturifySoft product family, including Futuristic Education ERP (parent and staff app), Futuristic HMS (doctor and patient app), Futuristic CRM and Sales app, Futuristic Fleet Driver app, FuturifyAgent voice tools and FuturifyMarketing client tools. FuturifySoft is the data controller for personal data we process. Contact: privacy@futurifysoft.com.
2. Information we collect
We collect only the data we need to run each app. Categories align with Google Play Data Safety and Apple Privacy Nutrition Label taxonomies.
Personal identifiers: name, email, phone, role at your organisation, optional profile photo
Authentication: hashed credentials, OAuth tokens, device fingerprint for security
App content you create: records you enter (attendance, fees, prescriptions, leave, tickets, trip logs), files you upload, in-app chat messages
Device and technical: device model, OS version, app version, crash logs, performance traces, IP-based approximate location for security, language and time zone
Precise GPS location: only the Fleet Driver app and the optional school bus tracking in the Parent app collect this, and only when the feature is active
Camera, microphone, contacts, calendar, storage: only when you trigger a feature that needs them
Health and sensitive data: processed only by HMS and Doctor apps, under HIPAA-style safeguards. The hospital is the controller; FuturifySoft is the processor.
Payment data: entered directly with the payment provider (HyperPay, Tap, Stripe, JazzCash, EasyPaisa, Telr or your bank). FuturifySoft stores only the transaction reference, amount, currency and status.
3. Why we collect it
App functionality, account management, transactional communications (fee reminders, appointment alerts), security and fraud prevention, regulatory compliance (ZATCA, KHDA, FBR and similar) and service improvement using aggregated analytics. We do not use your data for behavioural advertising or to build advertising profiles.
4. Permissions used by FuturifySoft mobile apps
Internet: talk to FuturifySoft servers (all apps)
Notifications: in-app alerts and reminders (all apps)
Camera: QR scan and document capture (Parent, Doctor, Driver, Sales)
Photos and media: upload and attach files (all apps)
Approximate location: security checks on login (all apps)
Precise location, foreground: live bus location for the Parent app
Precise location, background: active trip tracking for the Fleet Driver app, with a persistent notification while running
Microphone: voice notes on records (Doctor, Sales)
Calendar: add accepted appointments to your phone calendar (Doctor, Sales)
Biometric (Face ID, Touch ID): optional faster sign-in. Biometric data never leaves your device.
Every permission is requested at run time with a plain explanation. You can revoke any permission from device settings.
5. How we share data
We do not sell personal data. We share only as follows:
Your organisation: the school, clinic, business or fleet operator that issued your account
Service providers: AWS, DigitalOcean and Hetzner for hosting; SendGrid and Postmark for email; Twilio and regional GCC gateways for SMS; Firebase Cloud Messaging and Apple Push Notification Service for push; Sentry for crash reporting; Google Analytics 4 in privacy-friendly mode with no advertising identifiers
Payment providers: HyperPay, Tap, Stripe, JazzCash, EasyPaisa, Telr or your bank, only when you pay
Legal compliance: when a valid legal order requires disclosure
6. Where your data is stored
Data is hosted in cloud regions matched to the customer (Saudi Arabia, UAE, EU, US or Singapore). Cross-border transfers happen only when needed, with standard contractual clauses where GDPR requires them.
7. How long we keep it
Active accounts: kept while the account is active
Closed accounts: deleted within 30 days unless retention is required by tax, audit or regulation
Crash logs and analytics: 90 days
Backups: 30 day rolling window
8. Account and data deletion
You can request deletion any time:
In the app: Settings → Account → Delete my account
By email:privacy@futurifysoft.com from the email on your account, subject "Delete my account"
Deletion completes within 30 days of identity verification. We will tell you which data, if any, must be retained for legal reasons.
9. Children
Our apps are not directed at children under 13 (16 in the EU). For school apps, accounts are issued by the school. Where a child accesses through a parent account, the parent supervises. If a child has shared data without parental consent, email privacy@futurifysoft.com and we will delete it promptly.
10. Your rights
You have the right to access, correct, delete, export, restrict and object to processing. You may withdraw consent at any time and complain to your local data authority (GDPR in the EU and UK, CCPA in California, PDPL in KSA and UAE, PECA in Pakistan, PDPA in Malaysia). Email privacy@futurifysoft.com; we respond within 30 days.
11. Security
TLS 1.2 or higher in transit, AES-256 at rest, hashed credentials, role-based access, multi-factor for staff, annual penetration testing, continuous scanning. Breach notification within 72 hours where the law requires it.
12. Third-party services
Firebase Cloud Messaging, Apple Push Notification Service, Google Analytics 4 (anonymised IP), Sentry, and the payment providers listed above. Each operates under its own privacy notice.
13. Changes
If we materially change this policy, we will update the "Last updated" date and notify you inside the app. For changes that expand the data we collect or how we use it, we will request renewed consent where the law requires.
